What is the Circle In Platform about?

The Circle In platform is an online resource designed to aid working families and leaders in managing their careers and caregiving responsibilities. It offers an array of resources to support individuals in their efforts, from starting and expanding their families to caring for seniors and everything in between.

What content is available via the Parents and Caregivers Platform?

You’ll find an extensive variety of resources on the platform from webinars, video content, employee real stories and checklists which can be tailored to every stage of parenthood, family type and caregiving responsibilities. 

 

The “Policies & Benefits”  section contains the policies that your company has supplied for the Circle In platform.  They are either links that direct you to your company site or in pdf form.

If you can’t find the policy you are looking for, please contact your HR team directly.

What is available specifically for People Leaders?

On the Circle In platform, click the “Managers” button on the side bar on the left. This will take you to resources to better support your working parents and caregivers. This Managers section contains articles, webinars and conversation guides to assist you in supporting your teams through each stage of their parents and caregiving journey. This includes:

  • Pregnancy/Adoption/IVF Assistance
  • Caregivers support
  • Inclusive conversations
  • Return to work resources
  • Remote Working resources including resources on remote management of teams
  • Menopause support
  • Guidelines that cover support for expecting / new parents, parents of children with disability, caregivers and working parents at every stage and age
How to access the Parents and Caregivers Platform for the first time - what is the process and what email address should be used?

Click the invitation link from Circle In and create your profile (ask your People and Culture Team if you can’t find it on your intranet or internal communications).

What information is collected about an employee/manager(or any subscriber)?

The platform asks for basic information including your name, email, gender, your journey stage, and whether you are a people manager.

If applicable to your company’s Circle In product, depending on the information provided at registration, some employees may be asked to provide their manager’s details to ensure they receive email reminders / nudges at key stages of their journey. This is entirely optional.

What other data is collected via Circle In?

A minimal amount of user data will be collected to provide a tailored user experience.

Of the limited user data collected by Circle In at the time of registration, none of it is considered “sensitive”.

How often is the content updated?

Articles and resources are updated on a regular basis to ensure all employees have access to new and on demand content.

What are manager nudges?

Managers play a key role in the parental leave journey. 

These nudges are designed to support people leaders and ensure they receive timely reminders of what to do and when. When an employee signs up to the Parents and Caregivers Platform, the employee’s details are captured via the registration page. The employee’s manager details can also be captured (name and email address) and the journey stage (planning, expecting, on leave, back at work, working parent, just looking). Based on various rules, these nudges are then sent to managers at key points during the journey. 

It is vital for employees to ensure their personal data on the platform is correct including their current journey stage. 

This data ensures the correct manager nudges are issued to the employee’s manager.

Note: Currently Manager Nudges are only applicable if 

a) manager nudges have been enabled by your company, and 

b) the employee chooses either “expecting a child” or “on parental leave” option and nominates their manager on their profile

Who sends the manager nudges and how?

Circle In is responsible for sending all manager nudges. The nudges are sent to managers at key points during the employee’s chosen journey as per their Circle In profile.

Note: Currently Manager Nudges are only applicable if 

a) manager nudges have been enabled by your company, and 

b) the employee chooses either “expecting a child” or “on parental leave” option and nominates their manager on their profile.

What happens if the manager changes during the employee’s parental leave period- how are the details of the manager updated?

If manager nudges have been enabled by your company, and an employee chooses either “expecting a child” or “on parental leave” option on their profile,  they can nominate a manager and/or change manager details at any time by following the  steps below:

  1. Visit the Circle In Platform
  2. Select employee name in the top right menu
  3. Click My Profile and scroll to the bottom of the page and change their manager’s name and email address
  4. Save profile
What happens if an employee’s pregnancy doesn’t go to plan? Can Manager Nudges be turned off?

In the situation where an employee experiences a stillbirth or miscarriage, the employee is able to login to their profile and change their journey stage. This will in turn stop the nudges from being sent.

 

Alternatively, managers can reply to the nudge email and notify Circle In of the change in circumstance for the employee.

Circle In can then support by updating the user’s profile to stop the nudges also.

My parental leave dates have changed. Can I update my dates on the Parents and Caregivers platform?

To update the start or end date of your parental leave, go to your name in the main menu and click on My Profile.

Why should an employee invite their manager to join the platform?

Managers play a key role in the parental leave journey and beyond for a working parent or caregiver.

 

Manager nudges are designed to support the manager to receive timely reminders of what to do and when. We encourage employees to add their manager’s details when registering.

Any tips on how I (as a Manager) can leverage the resources on the platform to better support my employees in the moments that matter?

There are a few things you can do:

●Sign up to the platform if someone in your team has parenting or caregiver responsibilities
●On the Circle In platform, click the “Managers” button on the side bar on the left. This will take you to resources to better support your working parents and caregivers.
●Your team may not know what is available to them, so please take some time to speak to your teams about the Circle In platform and the assistance it provides.
●Keep an eye out for manager nudges shared by Circle In
●One of the most valuable resources that parents and caregivers can access through the platform is the Real Stories. They help your employees feel more connected, create a sense of community and feel less alone.
●Invite your employees to share their career and caregiving journey
●Share your own story of managing your career and caregiver juggle. This is a great way to role model and encourage a culture of support for working parents and caregivers.

Can employees access their policies through the platform?

If an employee wants to contribute to a real story, what is the process?

Stories are managed and completed via this link with Circle In’s Real Stories team. Any employees wanting to contribute should first complete this form. For any questions or issues, you can email support@circlein.com directly.

Unfortunately not, however, we do encourage you to go through the platform with your partner/family member to read the inspiration and advice articles, download guides/checklists and watch the webinars together.

This can be a great opportunity to spend time as a family.
